Relationship Management

To ensure we can continue to provide our services to you and inform you of changes to our terms and conditions and our privacy policy, we will process your personal data with your consent.

Event Administration

As the Event organiser, we require a record of your registration details including third party emergency contact details for internal administration purposes in order to properly conduct and to safely administer the Event.

We will also keep records of medical information provided, this will be kept confidential and may be shared only with medical personnel or teams allocated to the Event.

Information shall be deleted within a reasonable time following the completion of the Event unless you agree that we may use such information in your entry for future events, which are staged within a reasonable time frame thereafter.

By registering for an event you acknowledge that our events may be televised, filmed and/or otherwise recorded and photographs and/or footage may be taken, all of which may capture your participation in any such event. By entering an event you grant us and those authorised by us the free and unfettered right to use such photographs, filming and recording for any purposes it deems reasonable including, but not limited to, publication, display, sale and distribution by means of film, television, radio, print media, internet, publicity material or any other new media now or in the future.

E-mail/SMS communications
We will use the Participant’s contact data submitted on the Online Registration Form to send the Participant information by e-mail relating to the Event, other events and any further categories of news and promotional information as the Participant may have requested on the Online Registration Form. The Participant acknowledges and agrees that we may send an e-mail following the Event inviting the Participant to submit or renew his/her registration for any future events.

Website Administration

To administer our website and protect our business (including troubleshooting; data analysis; testing; system maintenance; support; and reporting and hosting of data) we will process your personal data with your consent.

Data Types: name, country, email address, occupation, and employment.

Financial Management, Accounting and Administration

Our financial management and accounting services process basic supplier contact information to fulfil our accounting requirements.  This ranges from invoices, purchase orders, account details, statement of works, terms and conditions and bank details.  We use a cloud-based solution to process and store this data.  This processing is primarily to enable us to perform our side of the contract with our suppliers and meet our legal obligations for financial reporting.

Data Types – Name, email addresses, address, telephone details, supplier bank account details, signatures, business contact details.

Associates/Contractors/Job Seekers

We process basic contact and work information in relation to associates, contractors and job seekers who would like to work with us.  The information could be collected through our website, email, LinkedIn, social media, recruitment agencies or job advertising boards.  Contractors who are working with us or who could potentially be working with us in the future will have their details stored in a cloud-based solution, so that we can keep track of their skills, work history, contact details and availability.  This processing is undertaken under En2end Limited’s legitimate interests and in the performance of a contract or with a view to entering into one.

Data Types – name, email addresses, address, telephone, CV, skills, work history, passport, driving licence, references and email conversations.

Social Media

En2end Limited make use of social media platforms such as LinkedIn, Instagram, Facebook and Twitter.  We as a business sign up to the terms and conditions of the provider and use these platforms to provide insight into the latest news and activities taking place at En2end Limited and to promote En2end Limited’s services.

Where we have relied on your consent for any of the purposes set out above, please note that you can retract this consent at any time by contacting us at claire.hughes@en2end.com. However, please note that this may prevent us from providing you with any or all services.

We do not collect any special categories of personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

How do we collect your data?

You directly provide En2end Limited with most of the data we collect. We collect data and process data when you:

·         Register online or place an order for any of our services.

·         Voluntarily complete a customer survey or provide feedback on any of our social media channels or via email.

·         Provide us with information in relation to events we are organising on your behalf.

·         If you are attending an event with one of our clients, our client may pass us your personal data in order to organise your attendance at the event

·         Attend an online event, and we record that event (this may include recording you speaking or participating in the event).

Sharing your data

En2end Limited collects your data for the purposes set out above.

En2end Limited will not share your data with our partner companies unless specifically for the provision of a service you have ordered from us.

When En2end Limited processes your order, it may send your data to, and use the resulting information from, credit reference agencies to prevent fraudulent purchases.

We will never use your data for automated decision-making or profiling.

How do we store your data?

En2end Limited securely stores your data using secure cloud services, with limited, need-to-know access and adhering to best practice security standards. Your data during processing may be moved out of your region as part of our delivery of services to you. Data is encrypted during transit and at rest with access secured by multi-factor authentication wherever possible.

En2end Limited will keep your personal data for a maximum of one year after the last order placed by you in order to fulfil legal and contractual obligations. Once this time period has expired, we will delete your data by reviewing where this resides and removing it from cloud services. You can request your data to be deleted at any time by sending an email to events@en2end.com

Marketing

En2end Limited would like to send you information about our services that we think you might like.

If you have agreed to receive marketing, you may always opt out at a later date.

You have the right at any time to stop En2end Limited from contacting you for marketing purposes.
